Office Technician III OR IV

Office Technician III:
Performs skilled clerical and administrative office support-related activities and advanced complex data quality control work. Work usually involves some confidential and sensitive correspondence and communications. Work requires contact with middle and high-level managers. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.
Office Technician IV:
Performs advanced clerical and administrative office support-related activities and advanced complex data quality control work. Coordinates activities for one or more project and/or specialized programs. Work involves some confidential coorespondenace and communications. Work requires contact with middle and high-level managers and private entities. Employees at this level establish their own work plan and priorities to meeting set objectives. Issues are rarely referred to the supervisor but are handled at the occurance.
Duties
The essential duties for this job include:
Office Technician III
Answers the telephone, evaluates requests, answers questions, routes messages and serves as receptionist or front desk assistant.
Drives to assist with monthly contract letting process.
Enters and retrieves data on a personal computer and assists others in the use of personal computer or mainframe system applications.
Independently handles a wide variety of situations that often cannot be brought to the immediate attention of a supervisor.
Maintains and updates office files/records/logs and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, travel and information.
Prepares, assembles, reviews and verifies various documents and forms.
Provides administrative support in an office and maintains a close and highly responsive relationship to the day-to-day activities of supervisors and staff.
Reviews and prepares purchases for services, office materials, supplies, tools and/or equipment and monitors contracts.
Schedules meetings and appointments.
Performs other job responsibilities as assigned.
Office Technician IV
Drives to attend meetings and prepares official reports/ minutes.
Monitors and maintains logs, records and various files.
Checks production work to verify that customer and supervisor specifications have been met.
Independently handles a wide variety of situations that often cannot be brought to the immediate attention of a supervisor.
Performs technical writing as required in addition to proofreading duties.
Provides administrative support in an office and maintains a close and highly responsive relationship to the day-to-day activities of supervisors and staff.
Reviews, prepares and negotiates applicable program purchases for services, office materials, supplies, tools and equipment and monitors contracts.
Schedules meetings, appointments and makes travel arrangements.
Uses database, spreadsheet or graphics software to prepare reports and presentations and verifies for accuracy and completeness.
Performs other job responsibilities as required.

Education
This job requires the following:
Office Technician III or IV:
High School Grad or Equivalent in general high school studies
Work Experience
This job requires the following:
Office Technician III:
4 years in Clerical, Secretarial, Admin Support -related activities
Experience can be satisfied by fulltime or prorated parttime equivalent
No supervisory experience required.
College education and /or relevant technical training may be substituted for experience on year per year basis.
Office Technician IV:
5 years in Clerical, Secretarial, Admin Support -related activities
Experience can be satisfied by fulltime or prorated parttime equivalent
No supervisory experience required.
College education and /or relevant technical training may be substituted for experience on year per year basis.
Licenses and Certifications
Office Technician III or IV:
The following Licenses and/or Certifications are required for this job:
Valid Driver License
Safety Impact Certificate
Commercial Driver Certificate
Safety Impact certifications are not required at the time of application. As required, the Safety Impact, Commercial Driver and/or Vessel Crewmember certification(s) will be issued by TxDOT at the time of hire.
Other Conditions:
If this position is determined to be Safety Impact by responsibilities, it will be subject to random drug testing.

Additional Conditions of Employment:
Must pass a drug test prior to employment for commercial driver, safety impact and vessel crewmember positions. Commercial drivers, safety impact employees and vessel crewmembers will be subject to additional drug and alcohol testing during employment.
May be required to work hours other than 8 to 5.
Required to wear personal protective equipment provided by employer and comply with all safety requirements.
Must attend work regularly and observe approved work hours.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
